Create one dependable home for notes

Choose a notebook, document or folder you will actually maintain. Start with a simple index and give each investigation a short identifier. Elaborate software is optional; consistent references matter more. Keep original quotations visibly separate from your own summaries so that a later draft does not accidentally present someone else’s words as yours.

Use a repeatable entry format

For each source, record its creator, title, date, repository or publisher, page or item reference and access information. Then add three small sections: what it says, why it matters, and what it does not establish. This last section protects against overclaiming. An account that mentions a house does not necessarily identify its current street number.

Make uncertainty easy to see

Use clear labels such as confirmed transcription, uncertain reading and unverified lead. Preserve a question mark when a handwritten word is unclear. If a search returns nothing, record the collection and terms searched rather than saying that no record exists anywhere. Negative results are useful when their scope is stated precisely.

Connect images to their context

Name image files so that they can be traced to a notebook entry. Keep the original scan or photograph and create separate copies for cropping or contrast adjustments. Record who owns an image and what reuse conditions apply. A folder full of attractive pictures becomes research material only when its items retain their identifying information.

Review before writing

At the end of a session, list the strongest evidence, unresolved conflicts and the next realistic step. Back up your notes in a separate location. Before drafting an article, check every quotation against its source and remove personal data you do not need. Your notebook should make it possible to explain a conclusion without relying on memory.
